General Description:
1. Pre-scanning Procedures:
a. Ensure they have a copy of the correct File Control Sheet for box to be scanned.
b. Remove the files from the box their folder and manually align and orient pages to correct any situations created during movement of the box or folder.
c. Perform a “quick check” of the file for staples.
2. Scan Operator Procedures:
- Open the batch file to be scanned by selecting the “Open option” in the Batch menu. This displays the “Open Batch” dialog box.
b. In the “Open Batch” dialog box, enter the box number, file type, location, and date and select the “OK” button.
c. The “Scan/Import” dialog box will appear. “All scanner setting have been set”. Make no adjustments to these settings.
d. Check “top left” corner of screen to verify Batch file matches documents that are to be scanned.
e. Load batch file in the scanner document feeder. No more that 150 pages will be loaded at a time.
f. Select “Scan” in the Mode Box.
g. Select “Start” button. The images will be displayed in the view window screen as they are scanned.
h. Perform quality control checks on the images as they are being scanned. This includes checking for correct orientation, mis-fed pages and degraded image quality. If any of these conditions occur, interrupt the scanning process and rescan the suspected image or cancel the entire batch and rescan.
i. During the scanning operation, the current document and page number is displayed in the Batch Contents group box at the bottom of the scan/import dialog box. Record the total number of pages scanned on the File Control Sheet.
j. When all documents in the batch file have been successfully scanned close the batch file by selecting “Close Option” in the Batch menu. This automatically forwards the batch file to the next queue (for example, Index /QC)
3. Scan Errors:
a. If a scan error is detected, the scanner stops and an error message is displayed. The scan operator must then decide how to correct the error. For example, if the error is a paper jam, the operator should fix the paper jam and resume scanning.
b. If you notice that an image has been poorly scanned you can select the “Stop” button to halt the scanner, delete the skewed page, and immediately rescan the image then select “Start” to resume scanning the batch.
c. When rescanning a page, make sure that the page to be replaced is “highlighted” in .the Batch Contents group box.
- You may also wait until the entire batch is scanned before rescanning the problem page.
Scanner Maintenance:
Daily, at the end of the day, Document scanning operator will clean and check scanner for damage or wear. If a PM is required Document Scanner Operator will notify supervisor.
